  • Parent/guardian details: name, email address and phone number
  • Student details: first name, year group, school year, exam board, current or target grade and areas of difficulty
  • Enquiry and booking details: messages sent via WhatsApp, the contact page, Google Calendar or the Hai-BL booking/interest form
  • Payment-related information: session bookings and payment confirmation; we do not store full card details, which are processed by our booking or payment providers
  • Lesson records: brief notes on topics covered, progress and homework set, used to plan future lessons

We do not knowingly collect more information than we need to provide tuition.

How We Use Your Data

We use personal data to:

  • Respond to enquiries and arrange tuition
  • Plan and deliver lessons tailored to the student’s level and needs
  • Send booking confirmations, reminders and occasional updates about classes
  • Keep basic records for safeguarding and accountability purposes
  • Meet our legal and tax obligations as a sole trader

We do not sell or share your data with third parties for marketing purposes.

We process personal data under the following lawful bases:

  • Contract: to provide the tuition service you have booked
  • Legitimate interests: to respond to enquiries and run our business efficiently
  • Consent: where you have opted in to receive updates; you can withdraw this at any time
  • Legal obligation: for safeguarding and financial record-keeping

Children’s Data

Most of our students are under 18. Where a student is under 13, we collect information about them through a parent or guardian, not directly from the child. Parents and guardians are responsible for providing accurate information and can contact us at any time to review, correct or ask us to delete their child’s data.

Third-Party Services We Use

  • Hai-BL (hai-bl.com): our booking/enquiry platform, used to collect interest form submissions
  • Google Calendar: used for booking consultation slots
  • WhatsApp: used for messaging; WhatsApp messages are subject to WhatsApp’s own privacy terms
  • GitHub Pages: hosts this website

We choose providers who take data protection seriously, but we encourage you to review their own privacy policies if you have concerns.

How Long We Keep Data

We keep personal data only as long as necessary:

  • Enquiry details that do not lead to a booking are deleted when they are no longer needed
  • Active student records are kept for the duration of tuition and for a reasonable period afterwards for lesson continuity, safeguarding and tax purposes
  • Financial records are kept for the period required by UK tax law

Under UK GDPR, you have the right to:

  • Ask what personal data we hold about you or your child
  • Ask us to correct inaccurate data
  • Ask us to delete your data, subject to legal record-keeping requirements
  • Object to certain types of processing
  • Withdraw consent at any time

To exercise any of these rights, contact us using the details on this page. We will respond within one calendar month.

Keeping Your Data Safe

We take reasonable steps to protect personal data, including using secure platforms for bookings and storing any personal records securely. No method of storing or transmitting data online is 100% secure, but we aim to use trustworthy services and limit what we collect.

Cookies

This website does not use tracking or advertising cookies. If analytics or similar tracking tools are added in future, this policy will be updated to explain what is collected and why.
